Job Description

Job Title: Executive Assistant / Sales and Investor Relations Support Location: Fully remote, primarily working Eastern Time hours to align with Atlantic Standard Time. Flexibility needed for occasional travel. Overview: We’re looking for a highly organized and proactive Senior Executive Assistant / SDR who thrives on keeping things running smoothly. You’ll be the operational backbone for a dynamic executive in investor relations and AI for a cutting-edge sustainable housing startup (www.Geoship.is), an AI investment bank (www.moneyball.ai) and for his other endeavors and personal life support. This is a dual role: half executive assistant, half SDR support, ensuring that everything between meetings and strategic calls is handled flawlessly. Key Responsibilities: ● Sales Pipeline Support: Manage all follow-up, documentation, and CRM upkeep in HubSpot. You’ll be on top of email and messaging, sometimes initiating contact and more often, preparing for and ensuring that after each call/meeting, everything is documented including action items, everyone has what they need so the next call is teed up smoothly. Your mission is to keep everything flowing so the focus of the Executive stays on strategic conversations, not admin tasks. ● Executive Assistance: Own calendar management, scheduling, and anticipating needs. Use tools like Asana, Notion, Google Drive, and Slack to keep projects on track and make sure nothing falls through the cracks. You’ll be one step ahead, anticipating what needs to be done and running with it. Book travel, and find ways to take things off of the executive’s plate before he asks. ● Efficiency and Metrics: You love metrics and dashboards, and you’ll track performance so we know exactly how effectively we’re moving. You’ll be measured by results, and you’ll help us stay hyper-efficient using AI tools and automation. What We’re Looking For: ● Significant experience with HubSpot, Asana, Notion, LLMs, AI tools, etc. ● At least 5 years of experience with CRM tools (Hubspot Preferred) ● Passionate about AI and nearly obsessed with using it to be more efficient and productive. You love trying new tools and always tweaking your approach. ● Strong project management skills and the ability to work independently. ● Excellent communication and emotional intelligence. You love working on yourself and love to learn, grow, and be challenged. ● Ability to self manage and independently learn and drive other team members towards common goals. Extreme ownership mindset. ● Passion for working with a mission-driven company making a positive impact. ● A love for structure, metrics, and creating order from chaos, but also ready, willing and able to handle a more out of the box executive who is NOT those things and needs your support in those areas.
